Office Manager 
$32,000 - $54,000 a year - Full-time, Part-time

Location: 1800 Kraft Dr., Suite 216, Blacksburg, VA, 24060, US Job Type: Full time or part-time

Education: BS/BA, MS or equivalent

Experience: familiarity with Google Calendaring and QuickBooks Online

Summary of OM Responsibilities:

The Office Manager (OM) will perform various day to day activities in the Company’s facilities; related to operations, data entry into accounting system; print checks to pay vendors and staff at the appropriate times, manage the credit card reconciling system; travel estimates, reconcile accounts every month and at year’s end; write press releases and other marketing and PR materials; maintain Company website and social media efforts; complete and submit all necessary forms for the State and Federal authorities on a quarterly basis; complete all necessary forms for the State and Federal authorities at the end of year/beginning of year; ensure purchasing of laboratory supplies and chemical stocks is handled correctly. You will work Landos' senior leadership team.

Responsibilities:

Finances: Maintains office services by organizing office operations and procedures; preparing payroll; tracking budget expenses; overseeing bookkeeping; helping company accountants prepare for audits and reports; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions. Ensures accounts are maintained in a manner that is compliant with funding agencies regulations.

Record Maintenance : Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records. Maintains the intellectual patent portfolio of LANDOS, including tracking status of pending patent, issued and in development patent applications and papers.


Proposals and contract support: Manages the submission of grants and contract proposals under the direction of the LANDOS Senior Leadership and Technical teams.


Scheduling: Maintains calendars for the team. Sets up and schedules appointments and meetings with partners, investors, executives, and others as necessary. Books travels and manages trip logistics as needed.


Regulatory: Works with Senior Management to design and implements office policies by establishing standards and procedures.


Personnel : Assist with onboarding new personnel. Assists Senior Leadership and maintaining HR functions and policies


Procurement: Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.


Social Media: Writes LANDOS press release. Maintains the LANDOS website and other social media systems.

Requirements:

Experience with bookkeeping using QuickBooks
Experience in website design and maintenance
Excellent oral and written communication skills.
Immense energy, absolute integrity, and an A+ attitude.
Sound judgment, decision-making ability, reliability, and confidentiality.
Demonstrated expertise at communicating in both oral and written forms, including communication through technology (i.e. Outlook, PowerPoint, Word and other programs used to create and distribute reports and key information).
Excellent organizational, time management, and multitasking skills.
Familiarity with an office environment

Preferences :

BS/BA, MS in accounting, business administration, communication, English or other suitable discipline
Experience in grant submission and management
Contract and grant writing experience
Experience in Photoshop and website design.
Performs beyond expectations.
Maintain a high degree of accuracy and attention to detail while performing the Company’s work
